Q: Who is allowed to login and upload PDF documents containing program analyses?
A:
A list of users was provided by the Vice Chancellor for Academic Affairs (VCAA) and the Vice Chancellor for Student Affairs (VCSA) from each campus. Access to the system is based on campus and is not role-based, meaning if someone can login, they can upload documents for all programs at that campus. The system will capture the person who uploaded the file and the date it was uploaded.
Q: What is the timeline for review year 2020?
A:
A detailed timeline is available on the "ARPD Process" tab. However, the initial Quantitative Indicators data for Instructional Programs will be made available to the campuses by Aug 17, 2020. Finalized data will be made available by Oct 15, 2020. The deadline for campuses to write and submit their analyses in the form of an ADA-compliant PDF is Dec 15, 2020.
Q: In prior years campuses had to call/email the OVPCC office and request their ARPD data be finalized and posted on the production site. Will that process continue?
A:
No. Campuses may upload their PDF files at any time. All files that have been uploaded will be made available to the general public beginning Dec 16, 2020. Additionally, all files uploaded after Dec 15, 2020 will automatically be available on the public ARPD site.
Q: I uploaded the wrong PDF document to the Web Submission site. How do I delete the document and replace it with the correct file?
A:
The system does not allow users to delete PDFs once it's been uploaded. However, you may upload a new document and the most current file will overwrite the previous one. In fact, campuses may upload any number of documents for a single program. The most current file based on upload date will be displayed.
Q: Are programs that have just gone through accreditation given a reprieve from ARPD? (added 9/19/2019)
A:
No, all programs need to submit an annual program review. The annual review process differs from comprehensive review, in part because it provides for comparable measures to be used across colleges (and across the system).
Q: Where does the data for the Quantitative Indicators (QI) section come from and how are the health calls calculated?
A:
The majority of QI data comes from UH's ODS (Operational Data Store) which is the reporting database that is populated from Banner, UH's student information system. Performance funding data comes from the UHCC Budget Office. The health calls are based on rubrics that were agreed upon by a prior ARPD committee that consisted of representation from all CC campuses. Health call calculations are available on the public ARPD site.
Q: What options are available to programs if they don't agree with the Quantitative Indicators (QI) data and/or resulting health calls?
A:
Campuses should consult with their respective Institutional Research offices regarding ODS-related data. The rubrics are standardized across programs. Consult with your Vice Chancellor or send your concerns regarding the data or ideas for future upgrades to uhccdata@hawaii.edu.
Q: Quantitative Indicators (QI) data is for the prior year, why must campuses wait until Oct 15 to get finalized QI data?
A:
Two reasons: (1) To give campuses a period of time to review their data and report any errors or required edits to the system office. (2) A handful of quantitative indicators require Fall census or Summer EOS (end of semester) data which is available after the October freeze occurs. As an example, Fall to Fall persistence will not have any data upon the initial Aug 17th release. This metric will be populated after Fall Census.
Q: It seems Quantitative Indicators (QI) data is only available for Instructional Programs and Student Affairs. Will the system office provide QI data for Academic Support Services?
A:
For Student and Faculty Information, the CC System Office will provide the data to the Institutional Research (IR) office at each campus. All other QI data for Academic Support Services was always provided directly by the campuses as it is not available for the system office to extract from a central location like ODS. Therefore, QI data for Academic Support Services must be entered by the campuses into the MS Word template.
Q: Will past ARPD content become available in this new site?
A:
No. The new website is only for review year 2019 forward. ARPD submissions from 2018 and prior, will remain accessible on the old site and eventually archived. The content previously submitted does not meet ADA compliance and will need to be reviewed in terms of continued online accessibility.
Q: Are the Microsoft Word templates provided to the campuses ADA compliant?
A:
The basic template structure is ADA compliant, meaning it uses headings in MS Word and alternative text has been added for the images. However, any text or content inputted by the campuses must meet ADA compliance. More information and guidelines are available on the "ADA Compliance" tab.
